Colee Privacy Policy

Colee is a product of LIMU Technologies ("Colee", "we", "us"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the Colee platform at colee.ai and the services we provide to hotels and their teams.
1 – Who we are

2 – Information we collect
- Account and company data: name, work email, company/hotel details, and settings you provide.
- Usage data: how you interact with Colee (log data, device/browser info, timestamps).
- Content you connect: data from the third-party services you choose to connect to Colee (for example your PMS, email, or Google Business Profile), accessed only after you authorise it.
3 – Google user data
When a hotel connects its Google Business Profile to Colee, we request the https://www.googleapis.com/auth/business.manage scope. With your authorisation, we:
- Access: your Business Profile locations and their reviews (rating, text, reviewer name as shown by Google, existing replies, and review metrics).
- Use: to let your Colee agents read and summarise reviews for your team, and to draft and (with a person at your hotel approving each one) post replies to reviews on your behalf. We use Google user data only to provide these user-facing features.
- Store: we do not store your Google OAuth tokens ourselves. Authentication is handled by our integration provider (Pipedream), which securely holds and refreshes the token. Colee retrieves it only at the moment of a request. We store the minimum needed to operate the feature (for example the connection reference and review content shown in the app).
- Share: we do not sell Google user data and do not transfer it except to the sub-processors that operate the service on our behalf (see §5), or as required by law, or with your direction. Replies you approve are sent back to Google on your behalf.
Limited Use. Colee's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not allow humans to read it except where you explicitly ask us to, for security or abuse purposes, to comply with law, or where the data is aggregated and anonymised.
4 – How we use information
- Provide, operate, and improve the Colee platform and its features.
- Authenticate users and secure accounts.
- Respond to support requests and communicate about the service.
- Meet legal, tax, and security obligations.
We process content (including reviews) with our AI provider to generate summaries and draft replies. This processing is limited to delivering the features above.
5 – Sub-processors we share with
We use trusted providers who process data on our behalf under contract, including:
- Pipedream — OAuth connection management and token storage for connected services.
- Anthropic (Claude) — AI processing to generate summaries and draft replies.
- Amazon Web Services — hosting and storage (EU region).
- Stripe — billing (payment data only; not Google user data).
We do not sell personal or Google user data to anyone.
6 – Data retention and deletion
- You can disconnect a connected service at any time from the Connectors settings, which revokes Colee's access.
- You can request deletion of your account and associated data by emailing privacy@colee.ai.
- You can also revoke Colee's access to your Google account at any time via Google security settings.
- We retain data only as long as needed to provide the service or meet legal obligations.
7 – Security
We protect data with encryption in transit and at rest, access controls, and least-privilege access. Google OAuth tokens are held by our integration provider, not stored by Colee.
8 – Your rights
Depending on your location (including under the EU GDPR), you may have the right to access, correct, delete, or export your personal data, and to object to or restrict processing. To exercise these rights, contact privacy@colee.ai.
9 – International transfers
We are based in the EU and host data in the EU region. Where data is processed outside your region, we rely on appropriate safeguards such as Standard Contractual Clauses.
10 – Changes to this policy
If we change how we use Google user data or your personal data, we will update this policy and, where required, notify you and obtain your consent before using data in a new way.
